Officer Reports

President:

  • Working to make an EZAA google workspace
  • Ken and I will be transferring the bank account signers on Monday 5/18
  • Discussing with the chapter on doing joint service events in person in the troy area this summer for arch students and local alumni
  • Sending out a list of upcoming events/projects
    • RPI Commencement weekend events on Sunday 5/17
      • Brunch
      • Mini golf
    • Summer service events
    • 80th committees
    • Career session with actives and new alumni
    • Heard some interest in an alumni variation of overnighter, planning to seek interest and feedback from alumni
  • The event on campus this last week went well, I got snacks for the students and we provided them a space to have snacks and study and presented on what EZAA is and sparking interest in the 80th
    • Kept snacks within budget $​​88.89
  • Filed our annual paperwork with the national office
    • I have been elected as section chair but fully intent to continue in this role at this time, paid the annual fee of $25

Vice President:

  • Reserved alumni house for friday reception for 80th
  • Donated $2500 to the chapter to support the purchase of food and things through sodexo at the reception
  • Donation brunch at reunion weekend had a good brunch

Treasurer

  • No luck with NY State taxes
  • Ken will call his NY based accountant to see if we can get more details

Member at Large:

  • Working on getting submissions for the 80th history event

New Business/Discussion

80th Alumni Reunion Planning Discussion

Kenneth and Rafael discussed plans for the 80th alumni reunion, including organizing committees and finding volunteers. They noted that pricing for the Hilton Garden brunch is not yet available, as contracts are typically signed a year in advance, and they plan to follow up with Brian as July approaches.

The group discussed accessing historical materials from the archives to check out old documents and images. The Chapter President confirmed she had clarified the process for using their gift account funds with food services. Will work with RPI’s alumni office to create an RSVP page for the event and DJ and things like the 75th.

Donor Communications and Endowment Updates

The team discussed updates on donor communications and endowment efforts. Thank you cards were sent to donors from January 1, 2026 onwards, and endowment letters were prepared for both new and previous donors, though the final distribution is pending review by Maria. Regarding the endowment fund, Bea explained that donations below the $50,000 threshold would be held in a separate escrow account until sufficient funds are raised.

Email List Alignment Strategy

The team discussed aligning their email list with RPI’s distribution list, noting that about half of RPI’s emails were invalid. EZAA wants to get a list of all APO epsilon Zeta brothers from the national office, starting with brother number one, to avoid including pledges who didn’t become brothers.

The group agreed that Bea would contact get the list as the chapter president about obtaining this list. The RPI list and EZAA lists have gaps the overall goal is to make a list that includes all brothers so future notices on things like the 80th make it to all EZ brothers

Next ECOM Meeting

The group decided to hold their next meeting on Thursday, July 9th at 7pm. The meetings will now be open to any alumni to view that have an interest, contact Rafael for meeting details.
