Officer Reports

President:

  • Assisted with the Region Q alumni voting delegate selection process as a President of an alumni association in the region. Rafael ended up abstaining and was selected as the Region Q alumni voting delegate, if anyone has thoughts or opinions on the published legislation and wants to make their voice heard as an alumni of Region Q contact Rafael to talk.

Vice President:

  • Details on the 80th discussed later in the meeting

Secretary-Treasurer:

  • No updates since last meeting

Extension Chair:

  • 1 minor change the mailing list an email was sent out with details for nationals and various other items

Member at Large:

  • Looking to gather photos from alumni to create a slideshow at the 80th of APO in the past

New Business

RPI 80th Event Deposit Discussion

Discussed the $1,000 deposit for the banquet hall at the Hilton Garden Inn. RPI is unable to cover the cost until their new fiscal year in July. Kenneth shared an email from Brian and explained that the RPI Alumni Engagement Office had previously handled the 75th event’s deposit and contract. A motion was created for the EZAA to pay the deposit. The expectation is that RPI legal will still handle the contract. Once things are confirmed a call for volunteer support and committees will be sent out along with a save the date.

Nationals

The chapter confirmed recept of a large donation in the mail and conducted a thrift sale. Confirmed attendance from 3 actives attending nationals. Registered and secured hotel rooms, with donations and fundraising efforts covering most of the cost.

Donor Recognition and Upcoming Newsletter

New idea for a recurring a service project every semester to create thank you notes to all donors. The chapter President confirmed after the meeting that an event like this is occurring this semester and will be planned in subsequent semesters. There is a plan for a larger newsletter after the year ends, including updates from nationals and recognizing donors in the past calendar year.

Endowment

The chapter is working on draft letter to continue the effort to raise funds for the endowment. The letter has been sent to Ken and Maria to review then will be sent to the EZAA ECOM before it is sent out. Overall the goal is to push for final larger donations to reach the 50 thousand dollar minimum.

Bylaws

The bylaws were updated at the October 2024 meeting to extend EZAA membership to graduating seniors to engage and connect with them prior to graduation. The bylaws listed on the website are out of date. Rafael will find the source document and update it.

Next ECOM Meeting

The group decided to hold their next meeting on Thursday, February 5th at 7pm. The meetings will now be open to any alumni to view that have an interest, contact Rafael for meeting details.

Motions

Place the $1,000 deposit for the Hilton Garden Inn banquet space for the 80th Reunion with the understanding that the money will return to the EZAA once the registration fees are collected.
